What languages does Koncile support?

Koncile can analyze documents in any language.

The platform itself is currently available in French and English.

Do I need to install any special software to use Koncile?

No special software is required to use Koncile. You can access the platform directly after creating your account.

How much does Koncile cost?

The subscription to Koncile costs €690/month to analyze your invoices in real time before payment, with an additional fixed fee of just a few cents per processed page.

Can I create an account for someone else in the same company on Koncile?

Yes! You can create up to 10 different accounts linked to the same company!

How can I update my account information?

To update your account information:

  1. Go to the menu at the bottom left of your screen;
  2. Click on “Settings”;
  3. You can change your general information, password, and also the platform language here.

Why should I describe each field I want to extract?

This allows the tool to adapt to the document format.

For example, indicate that the "description" should include the product or service category subtitle, or specify that the weight should be expressed in kilograms rather than tons.

What types of specific instructions can I give for a document type?

In certain cases, you may need to add specific instructions to improve extraction accuracy, such as:

  • Layout instructions: Provide instructions if the document has an unconventional layout.
  • Error correction: Specify recurring extraction errors to avoid.
  • Page break handling: Indicate how to manage page breaks.

How can I copy a document configuration from one supplier to another?

When you create a new supplier, Koncile automatically provides a default configuration for invoice documents.

However, you can also reuse a document type that you’ve already configured for another supplier:

  1. Click on “Create a new document type”;
  2. Click on “Create from an existing supplier” at the bottom of the window;
  3. Select the document type you want to reuse;
  4. Click on “Create”!

Your document type is now available in the document type list for your new supplier.

In what format should I import my invoices?

Your documents can be imported in any language and in the format of your choice.

In what format should I import my price grids?

Your price grids must follow the template format provided by Koncile.

What should I do when I have new pricing conditions?

You can add as many price grids as you want. However, during the import process, make sure to indicate the period for which the grid is applicable!

Can I separate already processed files from those still being processed?

Absolutely! Once you click on a supplier, in the “Invoice” tab, you have access to a “Process” filter.

You can then indicate the stage of the processing for that invoice.

When the process is completed, you can select the “Compliant” stage, and the invoice will be stored in the “Archives” tab.

The extracted fields on my invoice are incorrect, what should I do?

First:

  • Verify that the provided document does not contain any anomalies that could hinder the extraction of information (erased, hidden, or unreadable lines).

If the fields still show anomalies:

  • Complete or modify the data extraction settings for this type of document:

How can I extract data from multiple suppliers at the same time?

If you want to download the complete data from multiple suppliers:

  1. Go to the dropdown menu on the left and select the “Suppliers” tab;
  2. Select the suppliers whose data you want to extract by checking the gray box on the left of each line;
  3. Click on the “Download selected data” button;
  4. Select “Data and Analyses”;
  5. Click on “Download”!

Can I generate a credit request on Koncile?

Yes! Koncile allows you to directly generate a credit request within the platform when a price compliance issue is detected.

Where can I find the price grid template?

You can retrieve the price grid template in two places on the platform:

  • In the menu on the left side of the screen by clicking on the “Quick Upload” button;
  • Or by going directly to the page of the relevant supplier and clicking on “Upload” on the right side of the screen.

How do I download an Excel file with my extracted data?

Can I filter my invoices based on extracted fields?

Yes, you can filter invoices from the same supplier based on the extracted fields from these invoices. This is only possible between files that were extracted using the same document type, so the extracted fields are identical.

To access advanced filters:

  1. Click on “Filter”;
  2. Select a document type for which you want to filter the invoices;
  3. Click on “Custom Filters”;
  4. Select the field you want to use to filter your invoices;
  5. Select the field value that should be present in the invoices you want to select;
  6. Click on Apply!

How can I quickly access invoices with a pricing anomaly?

You can use the “Discrepancy” filter, which will pull up all invoices showing a price discrepancy with the imported price grid.

Why can't I relaunch the analysis of my invoices?

You can only relaunch the analysis of your invoices if you have imported a new invoice or a new price grid for that supplier.

How do I launch a price compliance analysis for multiple suppliers simultaneously?

To download the complete analysis of multiple suppliers:

  1. Go to the dropdown menu on the left, and select the “Suppliers” tab;
  2. Select the suppliers whose data you want to extract;
  3. Click on the “Download selected data” button;
  4. Select “Data and Analyses”;
  5. Click on “Download”!

Note : Make sure you have previously launched the analysis for all selected suppliers.

How to generate the analysis for multiple suppliers at the same time?

To download the complete analysis of multiple suppliers:

  1. Go to the dropdown menu on the left, and select the “Suppliers” tab;
  2. Select the suppliers whose data you want to extract;
  3. Click on the “Download selected data” button;
  4. Select “Data and Analyses”;
  5. Click on “Download”!

Note : Make sure you have previously launched the analysis for all selected suppliers.

Is it possible to access all the data on the platform?

Not all data is yet available on the platform. You can currently find:

  • Your extracted data;
  • The tariff compliance analysis;
  • Benchmark analyses.

Unfortunately, these data and analyses are only available per invoice or per line. You need to download the summary Excel file to access the data by supplier or the product catalog.

What type of document can I import into Koncile?

Koncile supports any type of document related to managing your purchases and invoices!

Whether it's supplier invoices, purchase orders, quotes, contracts, or price catalogs, you can import them into the platform, and Koncile will cross-check the information for you!
